How we process personal data on the 100lat.simp.pl jubilee portal

1. General information

This privacy policy describes how personal data of users of the jubilee portal at 100lat.simp.pl (the “Website”) is processed. The Website is informational in nature and presents content related to the centenary of the Association of Polish Mechanical Engineers and Technicians (SIMP).

General data protection rules for the Association are also described in the privacy policy on simp.pl (Polish).

3. Scope and purposes of processing

We process personal data for the following purposes:

  • publishing jubilee content — including SIMP history, multimedia materials and greetings (including names of persons and institutions where included in source materials) — legal basis: legitimate interest of the controller (Art. 6(1)(f) GDPR);
  • ensuring security and proper operation of the Website — including server logs — legal basis: legitimate interest of the controller (Art. 6(1)(f) GDPR);
  • compliance with legal obligations — legal basis: Art. 6(1)(c) GDPR.

The Website does not provide contact forms or user registration for visitors. We do not operate a newsletter or sales through this portal.

4. Server logs

Using the Website involves sending requests to the hosting server. Logs may record, among other things: public IP address, date and time of the request, visited URL, and browser or operating system information. Logs are used solely for technical, diagnostic and security purposes.

5. Cookies and browser technologies

The Website may use cookies and similar technologies. Cookies are small text files stored on the user’s device.

The following may be used:

  • essential cookies — required for basic website functionality, including remembering your analytics cookie choice;
  • analytics cookies — Google Analytics 4 (Google LLC), used to measure traffic on the Website. They are set only after you consent via the cookie banner shown on your first visit. Legal basis: user consent (Art. 6(1)(a) GDPR);
  • third-party cookies — in particular when playing embedded YouTube videos (Google). Once the player is started, YouTube may set cookies in accordance with its own privacy policy.

You may change cookie settings in your browser or delete stored files at any time. You can change your analytics choice at any time by clicking “Cookie settings” in the website footer. Restricting cookies may affect some Website features, including video playback and full traffic analytics.

6. External services

The Website uses third-party services, including:

  • Google Analytics 4 (Google LLC) — for measuring traffic on the Website, only after consent. Privacy policy: policies.google.com/privacy;
  • YouTube (Google LLC) — for video content. Privacy policy: policies.google.com/privacy;
  • Google Fonts (Google LLC) — for typography. Loading fonts may connect your browser to Google servers;
  • CDN — for delivering interface components (including styling framework).

These providers may process data outside the European Economic Area. Where applicable, appropriate safeguards under the GDPR are used, including standard contractual clauses.

7. Data recipients

Personal data may be disclosed to:

  • hosting and IT infrastructure providers;
  • providers listed in section 6 (e.g. Google);
  • persons authorised by the controller — SIMP staff and collaborators;
  • public authorities — where required by law.

8. Data retention

Server log data is retained for as long as necessary for security and diagnostics, and no longer than required by law or internal security policies. Published content (e.g. greetings) is kept for the duration of the jubilee portal and archival purposes related to the SIMP centenary celebrations.

9. Your rights

You have the right to:

  • access your data;
  • rectify your data;
  • erasure (“right to be forgotten”);
  • restrict processing;
  • data portability;
  • object to processing based on legitimate interest;
  • lodge a complaint with the Polish Data Protection Authority (UODO, ul. Moniuszki 1A, 00-014 Warsaw — office and registry desk; uodo.gov.pl).

10. Data security

The controller applies technical and organisational measures appropriate to the risk of infringing the rights and freedoms of data subjects. Connection to the Website is encrypted using SSL/TLS.

11. Changes to this policy

The controller reserves the right to amend this privacy policy. The current version is always available on the Website. Material changes will be communicated by publishing an updated document.
